Privacy Policy

At Citizens Advice North Nottinghamshire (CANNS) we collect and use your personal information to help solve your problems, improve our services and tackle wider issues in society that affect people’s lives.

How we use your data
1) Advice Services
How we use your data
We collect personal information to provide advice and support, meet legal obligations, and improve services. This may include your contact details, case details, and relevant sensitive data (e.g., health, ethnicity, or disability) with legal justification. Your information is kept confidential and only accessed when necessary. We:
  • only access it when we have a good reason;
  • only share what is necessary and relevant;
  • never sell it to anyone.
We may share limited data with funders or partner organisations where necessary, always in compliance with data protection laws. At times, we may use or share your information without permission if there is a legal basis, such as:
  • to prevent an immediate risk of harm to an individual;
  • In select circumstances if it is in the best interests of the client;
  • where we are compelled to do so by law (e.g. a court order or meeting statutory disclosures);
  • where there is an overriding public interest such as to prevent harm against someone or to investigate a crime;
  • to defend against a complaint or legal claim;
  • to protect our name and reputation for example to provide our side of a story reported in the press.
2) Recruitment and Volunteering
If you apply for a job or volunteer role with us, we collect personal information such as:
  • your name, contact details, and work history;
  • references and right-to-work verification;
  • if required for the role, Disclosure and Barring Service (DBS) checks.
  • This data is used solely for recruitment purposes and will be kept securely for only as long as necessary. We process recruitment data under contract and legal obligation where required.
3) Website usage
We collect limited data, such as IP addresses and cookies, to improve website functionality. Data processing is based on legitimate interests, and consent is required for some website features.
How Long We Keep Your Data
We retain data for only as long as necessary:
  • we keep advice records for 6 years (or 16 for high risk records);
  • we keep recruitment records of unsuccessful applicants for 1 year;
  • and we keep volunteer and employee records for the duration of engagement plus 6 years.
Your Rights & How to Contact Us
You have the right to:
  • find out what personal information we hold about you;
  • request corrections if your information is wrong, out of date or incomplete;
  • request we delete your information;
  • ask us to limit what we do with your data;
  • ask us to give you a copy of the data we hold in a format you can use to transfer it to another service;
  • object to how we use your data.
